This page describes the basic principles that apply to the use of the AI features (the "Features") provided by Codatum Inc. (the "Company"). In addition to the Codatum Terms of Service, this policy is intended to define the rights and responsibilities between the Company and its customers and users of the Service (collectively, "Customers") and to clarify the requirements applicable to the use of the Features. Customers are responsible for determining, and consulting with legal or other professional advisors as needed regarding, whether their use of the Features complies with the laws, industry guidelines, and internal rules applicable to them.
This policy applies to the AI-powered features implemented within the services offered by the Company under names that include "Codatum" (the "Service").
The Features may be provided using AI services, APIs, infrastructure, or other external services operated by the Company or by third parties whose services are used by the Company.
The Company may change the external services, AI models, APIs, or other components it uses as necessary for quality improvement, stable operation, security, feature enhancement, or other needs. Such changes may alter the output, accuracy, response tendencies, behavior, or other characteristics of the Features.
The Company does not use data obtained from Customers through their use of the Features for training AI models or for any other machine learning purpose.
The Company also takes reasonable measures, through contracts, settings, or other means, to ensure that external services used by the Company to provide the Features do not use data provided by Customers for training AI models.
The Company may review or use usage logs of the Features for purposes such as providing, maintaining, and operating the Features, responding to incidents, ensuring security, and improving the quality of the Features or other services provided by the Company.
In principle, the Company does not use the content of data submitted by Customers, the content of their instructions or prompts, or responses generated by the Features for the purpose of quality or service improvement. However, the Company may use evaluations, classifications, scores, or similar results (so-called "scoring" results) obtained by processing or analyzing data submitted by Customers or responses generated by the Features through automated systems for the purpose of quality or service improvement. In addition, if it is confirmed that a Customer has violated the terms of use or other applicable terms of an external AI service necessary to provide the Service and the Features, the Company may obtain and analyze logs and other records relating to the nature and manner of such violation for the purpose of correcting such violation and continuing to provide the Service and the Features.*[1]
If a Customer connects and uses an external AI service that the Customer has independently contracted for or manages together with the Features, the Customer is responsible for confirming and managing matters such as the handling of data, whether training use occurs, security settings, usage volume, and cost associated with that external AI service.

If a Customer connects and uses an external AI service that the Customer has independently contracted for or manages together with the Features (i.e., when using the BYOK option), the scoring described above will not be performed, and the Company will not use any such results for quality or service improvement. In this case, the Company will also not obtain or analyze logs or other records regarding the details or manner of the Customer's use of that external AI service. Customers are responsible for overseeing and managing their use of such external AI service, and the Company bears no responsibility if the Customer becomes unable to use the Service or the Features as a result of the Customer's violation of that external AI service's terms of use.
When Customers use the Features, their input, instructions, prompts, settings, and other data necessary for use of the Features may be sent to, and processed by, the Company or external services used by the Company for the purpose of AI processing.
Customers are responsible for confirming that they have the necessary authority and consent, and that they comply with applicable internal rules and other requirements, regarding information they input into or connect to the Features, and for managing such information accordingly.
Depending on a Customer's instructions, settings, or other manner of use, the Features may process data in connection with external services, external systems, applications, or other services that the Customer contracts for, manages, or uses ("Customer Connected Services"). Such processing is performed using the credentials, access rights, usage permissions, or other authorizations configured within the Customer Connected Services, and only within the scope of those authorizations.
As a result of processing by the Features, data, files, records, settings, or other information on Customer Connected Services may be created, sent, saved, updated, edited, deleted, or otherwise modified or acted upon. When connecting Customer Connected Services, Customers are responsible for confirming the connection destination, configuration, permissions granted, scope of connection, processing content, and results, and for appropriately configuring and managing such permissions only to the extent necessary and appropriate.
Due to the nature of generative AI, content, analysis results, suggestions, or other output generated by the Features may contain errors, inaccuracies, incomplete information, outdated information, bias, or inappropriate expressions.
Customers are responsible for reviewing and verifying any content generated by the Features. In particular, Customers should conduct the necessary review and verification before using such content for business decision-making, external publication, provision to third parties, or other important purposes.
Furthermore, to help ensure the safety of the Features and of all users, please note the following when using the Features.
The nature of the Features and the scope of the Company's liability regarding their use are as follows.
If, in the course of using the Features, ethically inappropriate content that may be inconsistent with this policy is generated, please contact our representative.
The Company may change this policy from time to time. When making a material change, the Company will notify Customers with a reasonable advance notice period, by such method as the Company deems appropriate, including posting on the Codatum service or notifying the Customer's registered email address. If a Customer continues to use the Features after the effective date of a change, the Customer will be deemed to have agreed to the revised policy.
The Japanese version of this policy is the original and controlling version; in the event of any discrepancy between the Japanese version and this English translation, the Japanese version shall prevail.
